- Possess a Degree in Business Administration/Records Management/Office Management/Management Information Systems / Secretarial Studies, or related field.
- Minimum 3 years of experience in a similar secretarial or executive support role.
- Proficient in Microsoft Office Suites, and virtual meeting platforms such as Zoom.
- Experienced in travel booking systems with understanding of travel logistics and coordination.
- Excellent command of written and spoken English, proficiency in additional local languages is an added advantage.
- Strong organizational and time management skills, with exceptional attention to details.
- Capable of managing multiple responsibilities efficiently, work independently, and demonstrate a high degree of initiative.
- High integrity, professionalism, and discretion in handling sensitive information.

Responsibilities:

- Coordinate and manage scheduling for meetings, appointments, and engagements, ensuring timely communication and attendance.
- Handle all domestic and international travel arrangements for the GCEO, including flight bookings, transportation, accommodation, and related documentation.
- Organize and support Board of Directors (BOD) meetings, including preparation of materials, logistics coordination, and post-meeting follow-up.
- Draft, review, and manage official communications including emails, phone, and mail correspondence, and corporate reports.
- Oversee monthly Employee Share Option Scheme (ESOS) management, ensuring accurate data compilation and timely submission.
- Maintain and manage an organized filing systems for efficient document retrieval.
- Capture key discussion points and decisions during meetings, distribute minutes promptly, and track follow-up actions to ensure timely execution.
- Provide administrative support for AGM/EGM arrangements, preparation of meeting minutes, compilation of departmental reports, and other special projects as assigned.
